Two tools, two philosophies
Zapier and n8n both do the same fundamental thing - they connect apps and automate workflows. But they take very different approaches to getting there, and the right choice depends entirely on your situation.
Zapier is the polished, user-friendly option that prioritises simplicity. n8n is the powerful, flexible option that prioritises control. Neither is objectively better. Let's get into the specifics.
Pricing
This is where the conversation usually starts, and it's where the differences are starkest.
Zapier pricing in 2026:
- Free: 100 tasks/month, 5 zaps
- Starter: $29.99/month - 750 tasks
- Professional: $73.50/month - 2,000 tasks
- Team: $103.50/month - 2,000 tasks + collaboration
- Enterprise: custom pricing
n8n pricing in 2026:
- Self-hosted: completely free, unlimited workflows and executions
- n8n Cloud Starter: free - 5 active workflows
- n8n Cloud Pro: $24/month - 15 active workflows
- n8n Cloud Enterprise: custom pricing
The pricing gap is significant. Zapier charges per task (each step in a workflow counts), which means complex workflows burn through your allocation fast. A 5-step workflow that runs 10 times a day uses 50 tasks - that's 1,500 tasks per month from a single automation.
n8n's self-hosted version has no per-execution limits. You pay for the server (as little as £5/month on a VPS) and run unlimited workflows. Even n8n Cloud is substantially cheaper than Zapier at equivalent usage levels.
Winner: n8n - and it's not close on price.
Ease of use
Zapier was designed for non-technical users, and it shows. The interface is clean, the setup process is guided, and most integrations work with a few clicks. If you can use a spreadsheet, you can use Zapier.
n8n has a more technical interface. It uses a visual workflow builder with nodes and connections, which is powerful but has a steeper learning curve. You're looking at a flowchart-style canvas rather than a simple "when this happens, do that" format.
That said, n8n has improved massively here. The UI in 2026 is far more polished than it was two years ago, and the template library means you can start from proven workflows rather than building from scratch.
For a marketing manager who needs to connect a form to a CRM and send a Slack notification, Zapier is faster to set up. For a developer who needs to build complex conditional logic with error handling, n8n is more natural.
Winner: Zapier for simplicity. n8n for power users.
Self-hosting and data control
This is n8n's killer feature. You can run it on your own server, which means:
- Your data never leaves your infrastructure. For businesses handling sensitive customer data, GDPR compliance, or operating in regulated industries, this matters enormously.
- No vendor lock-in. If n8n changes their pricing or shuts down, your self-hosted instance keeps running.
- No usage limits. Run as many workflows as your server can handle.
- Full customisation. You can modify the source code, build custom nodes, and integrate with internal systems.
Zapier is cloud-only. Your data flows through their servers. For many businesses this is fine, but for some it's a dealbreaker.
Winner: n8n - Zapier literally can't compete here.
Integrations
Zapier's integration library is massive - over 7,000 apps. Almost anything with an API has a Zapier connector, and many apps build Zapier integrations as a priority.
n8n has around 400+ built-in integrations, which sounds small by comparison. But here's the important nuance: n8n has an HTTP Request node that can connect to any API, and building custom integrations is straightforward. If you're comfortable with REST APIs, n8n can connect to anything Zapier can - it just might take a bit more setup.
For common business tools - Slack, Google Workspace, HubSpot, Stripe, Shopify, Notion - both platforms have native integrations that work well.
Winner: Zapier for breadth of native integrations. n8n for flexibility.
Complex workflows
This is where n8n pulls ahead significantly. n8n supports:
- Branching and merging - complex conditional logic with multiple paths
- Loops - iterate over data sets without workarounds
- Sub-workflows - modular, reusable workflow components
- Error handling - proper try/catch logic with retry mechanisms
- Code nodes - write JavaScript or Python when visual nodes aren't enough
- Webhooks - trigger workflows from any external system
- Self-referencing - workflows can trigger other workflows
Zapier handles linear workflows well but struggles with complex branching. Paths (Zapier's conditional feature) work but feel limited compared to n8n's approach. Looping requires workarounds, and error handling options are basic.
If your automation is "when X happens, do Y and Z", both tools work fine. If it's "when X happens, check A, B, and C, then branch into different paths depending on the results, retry on failure, and log everything" - n8n is the better choice.
Winner: n8n for anything beyond simple automations.
AI and LLM integration
Both platforms have embraced AI in 2026, but the implementations differ.
Zapier offers AI actions through their "AI by Zapier" integration - you can use GPT, Claude, and other models within your workflows. It's straightforward but limited in how you can customise prompts and handle responses.
n8n has dedicated AI nodes for multiple providers (OpenAI, Anthropic, Google, open-source models), plus the ability to chain AI operations, build RAG pipelines, and create AI agents directly within workflows. If you're self-hosting, you can even connect to local LLMs.
For businesses using AI as part of their automation stack, n8n offers significantly more flexibility.
Winner: n8n - deeper AI integration with more control.
Reliability and support
Zapier has been running since 2011. Their infrastructure is mature, uptime is excellent, and their support team is responsive. You're paying for reliability, and you get it.
n8n Cloud is solid but younger. Self-hosted n8n reliability depends entirely on your infrastructure. If you run it on a well-configured VPS with proper monitoring, it's rock-solid. If you set it up on a Raspberry Pi and forget about it, expect problems.
Winner: Zapier for hands-off reliability. n8n Cloud is close. Self-hosted n8n depends on you.
When to use Zapier
Choose Zapier if:
- You're non-technical and want the simplest possible setup
- Your workflows are straightforward (trigger, action, done)
- You need a specific native integration that n8n doesn't have
- You don't want to manage any infrastructure
- Your task volume is low enough that pricing isn't painful
When to use n8n
Choose n8n if:
- Data privacy and self-hosting matter to your business
- Your workflows involve complex logic, branching, or loops
- You're cost-conscious and run high volumes of automations
- You want to integrate AI/LLM capabilities deeply into workflows
- You have some technical ability (or access to someone who does)
- You want full control over your automation infrastructure
Our recommendation
For most of the small and medium businesses we work with, n8n is the better choice in 2026. The pricing advantage is too significant to ignore, the self-hosting option gives you data control that matters under UK GDPR, and the workflow capabilities handle real-world business complexity.
That said, if you need something running in 20 minutes and don't want to think about infrastructure, Zapier still has its place.
