Services / Business Systems Review

Your business works hard.
Your systems should too.

Most businesses don't have a people problem, they have a structure problem: information in five places, the same thing typed twice, jobs waiting on one person. We find where the time and money go, and write the plan that fixes it.

The problem

Sound familiar?

01 / Problem

Everyone is busy, nothing gets faster

The team is flat out, yet the same jobs take as long as they did a year ago. Adding people adds cost without adding much output.

02 / Problem

Too many tools, none of them talking

A CRM nobody updates, spreadsheets that are the real source of truth, and subscriptions you've forgotten you pay for.

03 / Problem

It all lives in someone's head

When one person is off, things stall. Nothing is written down, so nothing can be handed over, delegated or improved.

What we do

A clear view, then a clear plan

We look at the whole business before recommending anything, so the fixes come in the order that pays back first.

01

How work flows

We follow the work from first enquiry to final invoice, team by team, and write down what actually happens rather than what the process says should.

Examples / Sales handovers, onboarding, job scheduling, reporting, invoicing

02

Where time and money leak

Double entry, manual reports, chasing, waiting on approvals, tools paid for and unused. Each one sized so you can see what it costs.

Examples / Rekeyed data, weekly reports built by hand, overlapping subscriptions

03

Structure and ownership

Who owns what, where the single source of truth should be, and which decisions are stuck because nobody is sure whose they are.

Examples / Role clarity, handover points, one system of record per thing

04

The prioritised plan

What to fix, in what order, with a cost for each. Some fixes are a setting changed; some need software, a CRM, automation or AI. We say which is which.

Examples / Quick wins this month, bigger builds this quarter, what to stop doing

Our process

How it works

  1. Step 01

    First conversation

A call about what's frustrating you and where you want the business to be. No charge. We agree scope and a fixed price before anything starts.

  2. Step 02

    Look at how you work

Time with the people doing the work, and a look at the tools and data behind it. We watch the process, not just the org chart.

  3. Step 03

    Write the plan

A written, prioritised plan with costs, in plain English. Everything we recommend is something we could explain to your team.

  4. Step 04

Fix it, with us or without

The plan is yours. We can build what it recommends, your team can, or someone else can.

Deliverables

What you get

  • Map of how work flows today, team by team
  • Where time, money and information are being lost
  • Tools you're paying for and not using
  • Recommended structure and ownership
  • Prioritised plan with a cost against each fix
  • Walkthrough of the plan with your team

Why it matters

Lower running costs

Fewer tools, less rework, and growth that doesn't depend on hiring for every new workload.

More done by the same team

Time goes back into the work that needs a person, instead of the admin around it.

Fixes in the right order

The changes that pay back first go first, so the plan funds itself as it goes.

No lock-in

A plan you own, written so anyone could act on it. You're never tied to us to use it.

FAQ

Common questions

What does a systems review actually look at?

How work moves through the business from first enquiry to final invoice: who does what, which tools hold which information, where things are typed twice, and where jobs wait on a person. The output is a written, prioritised plan, not a slide deck.

Do we have to use AI?

No. Most of what slows a business down is structure: unclear ownership, disconnected tools, the same data kept in three places. We fix that first. AI is one option among several and we only recommend it where it clearly earns its place.

What does it cost?

It is a fixed price, agreed before we start, and depends on the size of the business and how many teams are involved. We quote after a first conversation, which costs nothing.

Are we obliged to have you build what the plan recommends?

No. The plan is yours. Act on it with us, with your own team or with someone else.
